Position Summary

Responsibilities would include entering vendor payables, resolving vendor issues and inquires, and reconciling vendor statements. Offers suggestions on resource utilization and assumptions underlying budget forecasts. This person would also assist with small account related projects for the Accounting Department as needed.

Essential Duties and Job Functions

  • Enters vendor payables in Quickbooks
  • Matches vendor invoices with purchase order and reviews for any discrepancies
  • Resolves vendor issues and inquires
  • Ensures timely payments of all vendors
  • Enters and reconcile expense reports
  • Enters corporate credit card statement(s) and collects all receipts and back up from employees in a timely matter
  • Reconciles vendor statements and researches discrepancies
  • Accounts receivables collections
  • Enter accounts receivables invoices into Quickbooks
  • Reconcile and maintain records of all corporate mobile accounts
  • Reconcile and maintain corporate asset list
  • Assist with other accounting related projects for the Accounting Department as needed

Qualifications

  • Minimum 5 years’ experience in Accounting
  • Minimum Associates degree in Accounting
  • Expertise using QuickBooks
  • Experience in payroll is a plus
  • Experience with customer invoicing
  • Strong Microsoft Office skills including Excel and Word
  • Strong knowledge of basic bookkeeping, data entry skills, attention to detail and organizational skills
  • Experience with analyzing information and researching accounting issues
  • Excellent math skills
  • Team player willing to support your fellow colleagues.

Job Title:  Executive Assistant with Marketing/Sales Experience

Position Summary

This position is responsible for a variety of administrative and clerical duties, performing and coordinating office administrative duties, and storing, retrieving, and integrating information for the support to the CEO and Senior Vice President (SVP).

Essential Duties and Job Functions

  • Manage incoming correspondence, as related to the SVP of Sales & Marketing, including telephone call screening, occasional email management.
  • Clerical support to CEO and SVP (Organize and maintain paper and electronic files).
  • Dictaphone transcription for SVP.
  • Travel arrangements for the CEO and SVP (both Domestic and international flights and hotels, transportation) incl. itinerary/meeting coordination and planning.
  • Heavy contact management in CRM database (SalesForce).
  • Planning and scheduling internal meetings, external conference calls, and web based presentations.
  • Follow up on conferences and trade show leads created by SVP (mailings, databank updates, etc.).
  • Run various weekly reports for CEO and SVP. Follow up on required report updates through various staff members.
  • Control deadlines of projects assigned by CEO and SVP to various staff.
  • Special internal and external event planning and coordination.
  • Handle personal/private tasks for CEO and SVP.
  • Backup support for receptionist on telephone overflow.
  • Support Marketing/Communications. Arrange regional trade show participation (posters, handouts, hotel booking, booth reservation, display stands, etc.).
  • Highest level of proficiency in business correspondence.
  • Handle day to day affairs of the Austrian Consulate (manage visa applications, inquiries, organize support for Austrians in an emergency situation).

Qualifications

  • German or Spanish speaking a plus but not required.
  • Minimum five years of experience supporting Marketing/Sales Executive management.
  • Bachelor degree required.
  • Must have the ability to organize and communicate effectively with executive management and employees.
  • Must have exceptional experience in proofreading, grammar and typing skills.
  • Must be adept with using Dictaphone and transcribing.
  • High level computer knowledge of various software applications to perform functions as required, including latest versions of Excel, PowerPoint, Word, SalesForce, Adobe Acrobat.

Job Title:  Biological Process Engineer

Position Summary

Headworks is in search of an experienced Biological Process Engineer with an in-depth knowledge of biological, physical, and chemical processes for municipal industrial applications. To be successful in this role, candidates must have a thorough understanding of typical biological processes applied in the wastewater industry and detailed process knowledge surrounding all components within a wastewater treatment system [i.e.: RBC, SBR, UASB, MBR, various types of clarifiers, secondary treatment, tertiary treatment solution, sludge treatment and biosolids handling technologies]. Excellent oral and written communication skills are a must as the Process Engineer will be expected to write technical papers, partner with Marketing to develop case studies, and be able to write technical evaluation reports associated with the sales cycle.

Essential Duties and Job Functions

  • Designs wastewater treatment solutions using the information supplied by the sales team and documenting the proposed process into a summary.
  • Interaction with customers, solving treatment challenges through thorough analysis of their particular requirements.
  • Spearhead certain R&D projects to support internal technology development.
  • Writes technical reports, proposal for funding agencies and scientific papers in peer reviewed journals.
  • Gives technical presentations at National and International level symposia.
  • Interaction with team members to continually improve existing technologies and create innovative new techniques for improving water treatment and reuse.
  • Prepares Process Flow Diagrams (PFD), General Arrangements (GA), and preliminary Piping & Instrumentation Diagrams (P&ID) for incorporating in proposals and bids.
  • Assists with processes, tools, and systems for project estimating that are accurate and efficient.
  • Provides process engineering input for new and existing projects.
  • Keeps abreast of wastewater treatment design techniques, competing technologies, and various software tools such as GPS-X and BioWin.
  • Fosters and maintains excellent working relationships with customers and staff.
  • Communicates effectively and appropriately externally with the client and internally with project resources and stakeholders, as required.
  • Ensures that company procedures and design methodology is consistently applied including all required project documents filed as required.

Qualifications

  • Master's degree in Environmental or Chemical Engineering from an accredited university.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office: Word, Excel, Visio, MS Project, PowerPoint.
  • Composed and disciplined approach to multiple simultaneous demands.
  • Knowledge of advanced biological treatment processes like MBR, MBBR, high rate clarification processes.
  • Knowledge of advanced wastewater treatment and water treatment systems for process based industries like pulp & paper, food processing, etc. is a plus.
  • In depth knowledge of BioWin or similar design tools are a must.

Position Summary

Qualifications

  • Mechanical engineering degree
  • 10+ years of relevant experience designing similar mechanical equipment.
  • Experience managing a design team.
  • Proficient experience in SolidWorks, Drive Works and AutoCAD with the ability to interface spreadsheet (Excel) design and configuration specifications into AutoCAD documentation.
  • Understanding and experience with dynamic design and integration of static structures with moving assemblies.
  • Experience integrating power transmission equipment into dynamic machinery.
  • Understands both metric and imperial measurement systems and documentation and design standards.
  • Ability to apply finite element analysis to simple beam stress analysis problems.
  • Experience with design of structural steel weldments and incorporation into assemblies.
  • Knowledge of welding procedures for ferrous and alloy steels.
  • Ability to interact with vendors and shop floor manufacturing personnel to oversee manufacturing process.

Position Summary

The Project Management Assistant provides support to the Project Management department during the launch, execution, and close out of projects. The Project Management Assistant works individually and with a team to ensure that all projects run efficiently and on schedule and provides back-up and support to all departments within the company.

 

Essential Functions

  • Attend planning and scheduling meetings to maintain the department calendar and coordinate work flow.
  • Keep track of all official documents pertaining to projects (i.e. Purchase Orders, Bonds, Certificates, etc.), as well as all official and unofficial project correspondence.
  • Serve as a liaison between the Project Management Department and other departments within the company.
  • Serve as a liaison between the company and clients (both current and potential).
  • Assist in maintaining and developing new departmental policies and procedures.
  • Ensure all records and files are maintained and up to date.
  • Ensure all project deliverables are on schedule.
  • Assist in the preparation of submittals and manuals.
  • Assist project management department with sending and receiving documents via UPS.
  • Create and modify documents such as, reports, memos, and letters using word processing, spreadsheet, database and/or other presentation software such as Microsoft Office and other programs.
  • Work closely with the Project Management team to ensure that all aspects of the department are running smoothly and efficiently as possible.
     

Qualifications

  • Minimum of two (2) years experience in an administrative or clerical position.
  • Very good interpersonal and communication skills
  • Ability to understand information and ideas presented through oral and written communications
  • Ability to read and understand technical communications to some extent
  • Excellent organizational skills with the ability to multitask
  • Good leadership skills
