Job Title: Project Management Assistant

Position Summary

The Project Management Assistant provides support to the Project Management department during the launch, execution, and close out of projects. The Project Management Assistant works individually and with a team to ensure that all projects run efficiently and on schedule and provides back-up and support to all departments within the company.

Essential Duties and Functions

•Attend planning and scheduling meetings to maintain the department calendar and coordinate work flow.

•Keep track of all official documents pertaining to projects (i.e. Purchase Orders, Bonds, Certificates, etc.), as well as all official and unofficial project correspondence.

•Serve as a liaison between the Project Management Department and other departments within the company.

•Serve as a liaison between the company and clients (both current and potential).

•Assist in maintaining, developing and implementing new departmental policies and procedures.

•Ensure all records and files are maintained and up to date.

•Ensure all project deliverables are on schedule.

•Assist in the preparation of submittals and manuals.

•Assist project management department with sending and receiving documents.

•Create and modify documents such as reports, memos, and letters using word processing, spreadsheet, database and/or other presentation software such as Microsoft Office and other programs.

•Work closely with the Project Management team to ensure that all aspects of the department are running smoothly and efficiently as possible.

 

 

Qualifications

  • Minimum of two (2) years experience in an administrative or clerical position in an office environment.

  • Very good interpersonal and communication skills.

  • Ability to understand information and ideas presented through oral and written communications.

  • Ability to read and understand technical communications to some extent.

  • Excellent organizational skills with the ability to multitask.

  • Ability to juggle many different tasks and deadlines at one time.

  • Ability to work closely with teams in achieving common goals.

  • Minimum 50 WPM.

  • Proficiency in all Microsoft Office programs.

  • Willingness to learn and take on tasks outside of the general job description.

  • Ability to perform all essential job functions independently.

Position Summary

Headworks is seeking a Project Manager who will work under the direct supervision of a Senior Project Manager, assists in the planning, organization, control, integration and completion of multiple projects from shop drawing approval, manufacturing, shipment, installation to final sign-off. •Review of appropriate manufacturing instructions and documentation

•Review and approval of purchased materials and schedule O&M manual preparation and submission

•Shop test documentation

•Shipping

•Completion of final shop tests and acceptance

•Support Sr. Project Manager and Director of Engineering to ensure timely completion of projects and consistent implementation of design modifications

•Review design changes, specifications and all documentation releases

•Consistently monitor project expenditures to remain within established guidelines

•Provide, where necessary and in a timely manner, interim and completion project reports

•Assist in negotiating PO Terms and Conditions with supervisor

Qualifications

•3-5 years of project management experience directing multiple projects

•Bachelor of Science degree in mechanical or civil engineering

•Work well under pressure with passion for excellence and customer focused at all times

•Ability to travel domestically (minimal travel required)

•Highly computer literate – Excel, Word, Access, AutoCAD and Solidworks skills is a plus

•Ability to clearly communicate, both orally and in writing

•Ability to work on multiple projects at the same time

•Experience with Water/Wastewater projects is a plus

Essential Functions

  • Works with Engineering, Fabrication, Project Management, Product Management, Sales and Finance to develop continuous sourcing strategies and improvements to the Company’s product lines while improving profitability and lowering costs to the customer.
  • Continues to develop members of the Procurement and SCM team through KPI measurement, sound hiring practices, mentoring, offering ever increasing responsibilities, career advice and addition of new team members as needed.
  • Identifies, qualifies, and interfaces with outsourced international manufacturing facilities and domestic and international material and component vendors with input from Engineering.
  • Works to continually improve the department’s processes and practices in line with best industry practices, including detailed understanding of descriptions of the product and service offerings, capabilities and strengths/weaknesses of current suppliers and continual monitoring and negotiating of better pricing.
  • Conducts research on key supply markets using a full spectrum of information sources (e.g. market indices, on-line databases, print sources, internet, trade associations and supplier information), continually looking for new sources which will provide information on industry structure, supplier landscape and competitor actions for a range of key supply markets with monthly reports to Senior Management Team.
  • Annually develops cost and quality improvement strategies and Kaizan improvements for all components and material purchases and monitors progress across the department.
  • Conducts a minimum of annual reviews with key suppliers regarding quality and on time performance and costs versus pre-agreed standards.
  • Supports Project Management in the compilation of monthly procurement performance status reports.
  • Works with Sales to update and maintain quotation calculations and procedures to insure accurate cost estimates.
  • Provides sourcing assistance to new product development teams on a global basis.
  • Negotiates or supervises the negotiation of complex requests for equipment, supplies, and services from suppliers and subcontractors.
  • Reviews and revises terms and conditions of purchase contracts that comply with company and government regulations and manage same from initial negotiations through supplier development and audit activities.
  • Ensures that commodities and components are delivered on schedule, at the negotiated price and meets the quality standards of the Company.
  • Analyzes market and delivery conditions to determine present and future material availability and prepare market analysis reports for senior management team.
  • Arranges for routine disposal of surplus materials and maintains control over excess and obsolete materials.
  • Upholds internal and external policies, regulations and laws – Maintain a working knowledge of applicable federal, state and local laws and regulations as well as any internal policies (e.g., code of ethics) or procedures to ensure that the behavior exhibited by the organization is honest, ethical and professional.

 

Qualifications

  • Bachelor of Science degree in appropriate discipline required. MBA a plus.
  • CSCP Certification a plus
  • 10 or more years experience in supply chain management with a minimum of 5 years’ experience in a management role for international supply chain management in a manufacturing environment.
  • Strong moral and ethical standards.
  • Experience and proven track record of implementation of processes leading to excellence and improving cost metrics through use of best practice techniques such as cycle counting, MRP planning, JIT, Kaizan, etc.
  • Proven success in implementing new policies and processes, working with internal management and external teams to analyze and suggest improvements to systems.
  • Understands both metric and imperial measurement systems, documentation and design standards and how to read manufacturing drawings and take off relevant information.
  • Ability to interact with vendors and manufacturing production managers to oversee and improve JTI manufacturing processes.
  • ISO 9000 background required. Demonstrated success in Lean Manufacturing and Continuous Improvement.
  • Experience making recommendations/decisions using fact based analysis. Strong ability to analyze and use data appropriately including preparation of forecasts.
  • Ability to manage, prioritize numerous requests. High level of multi-tasking and organization required.
  • Strong proficiency with various software applications (e.g. Word, Excel and QuickBooks Enterprise or Sage) and excellent communications skills both oral and written.
  • Occasional travel required including international.
  • Must be a US citizen or hold an unrestricted Permanent Residency card.

 

Examples Of Initial Deliverables

Although not a complete and comprehensive list of goals and milestones, the following is an initial roadmap for the expectations of the first few months in this position. Naturally, this plan may evolve if business needs change:

  • First thirty (30) days deliverable will be a written report encompassing the assessment of current staff qualifications, workload, internal processes, quality control, and workflow, plus recommendations for improvement in each of these areas and suggested best practice implementation of the recommendations including establishment of metrics to measure current SCM operations as a bench mark against monthly changes.
  • Three (3) month deliverable will be, working with a team from each of the company departments, to assess various technologies which would improve processes across the company’s operations, prepare a short list of recommendations and a thorough plus/minus assessment of each, together with a suggested implementation road map. Additionally, continued improvements as measured by established metrics in the areas of multiple sourcing, JIT, alliance building with key suppliers, etc
  • Six (6) month deliverable will include a Plan developed in collaboration with members of other departments, including Technical Services, Customer Service, Project Management and Marketing, detailing suggested incremental improvements to core products, implementation resources required and timeline to successful adaptation. Additionally, written reports on the success of the implementation of new processes and measured reductions in error rate as well as a report on current quality assurance program and suggestions for improvements for part and equipment testing. Continued improvements will be expected as measured each following quarter.
  • Twelve (12) month deliverable will be written report assessing success of plan, implementation of previously suggested improvements/changes/technologies, and recommendations for the departments next twelve to twenty-four months.

Position Summary

Direct, manage, and coordinate and Sales and Marketing activities in the Eastern United States and Canada or the Western United States and Western Canada. Work with internal sales personnel and outside sales representative force to ensure response to customer requests. Build a balanced pipeline of projects for the overall business in the region. Work closely with marketing personnel to develop sales and marketing tools. Coordinate with engineering, procurement, manufacturing and accounting functions to provide effective customer service.

Essential Functions

  • Maintain heavy schedule of direct contact with Representatives, identified key accounts, and prospective clients.

  • Identify projects in the region and work with the rep network to develop them in early stages to ensure Headworks is the preferred supplier in the specifications.

  • Plan and manage the sales efforts based upon sales quotas.

  • Make sales calls and conduct Technical Sales Presentations to engineers, end users, and decision makers in the region.

  • Identify Representatives, Engineers, Customers and Prospects that executive management or technical support of which should make a field visit. Prepare a briefing document and proposed itinerary.

  • Attend trade shows based on selected increased market potential.

  • Recruit (or replace) and train Manufacturers Representatives on product knowledge and effective sales techniques to promote greater sales and profitability.

  • Confer with the Sr. Management on sales policies, product revisions and pricing changes.

  • Keep Sr. Management abreast of market changes and potential new sales leads via reports and close communication.

  • Plan/maintain accurate records of travel, meetings, telephone calls, proposals and sales.

  • Assist in the development of corporate sales plans, forecasts and marketing plans.

 

Requirements:

  • Up to 75% travel in North America

Job Title:  Field Service Technician
Location:  Houston, TX

Position Summary

Headworks is seeking an entry level Field Service Technician to install, repair, maintain, and adjust our equipment in the field.

Essential Functions

  • Assemble, calibrate, test and troubleshoot mechanical components and circuits, harnesses, and instruments.
  • Working independently, and while interacting with customers, install, start-up, performance test, troubleshoot, and repair equipment at customer locations.
  • Inspect and test equipment prior to shipping to customer.
  • Train customers on theory of operation and on operation and maintenance of equipment.
  • Create and maintain service records and reports using the appropriate software such as Word, Excel, etc.
  • Make product improvement recommendations.
  • Other duties may be assigned.

 

Qualifications

  • 0-5 years related experience and/or training; or equivalent combination of education and experience.
  • Practical experience in troubleshooting and repair of mechanical equipment required.
  • Ability to read and interpret mechanical drawings, specifications, electrical schematics, wiring diagrams, and industry codes and standards.
  • Ability to organize tasks and schedule work so that it is completed on time.
  • Ability to effectively perform work independently or within a team.
  • Excellent interpersonal skills required: skilled at written and oral communication, able to work constructively with customers and code enforcement officials, able to effectively explain function of equipment to customers.
  • Bilingual helpful but not required.
  • Valid U.S. passport or the ability to obtain one within 60 days of employment.
  • Valid driver’s license with good driving record required.
  • Ability to operate various tools and instruments including hydraulic tools, drills, grinders gages and meters for electrical components.
  • Previous experience with Wastewater Treatment Equipment a plus.
  • Welding experience, especially on Stainless steel a plus.

 

Job Requirements

  • This position does require the ability to travel extensively, up to 95%. Overnight travel is a requirement. It also requires the ability to work holidays and weekends. International travel with passport required.
  • Practical experience in troubleshooting and repair of mechanical equipment required.
  • Possesses and exhibit high moral and ethical standards.
  • While performing the duties of this job, the employee is frequently required to stand, walk, sit, reach with hands and arms, stoop, kneel, crouch, or crawl.
